I am a courier printer, I help people for with life and career coaching, unlocking their true potential. So two years ago established a group called Dubai jobs and a voluntary group to help and guide job seekers in the UAE. The group has grown over 17,000 people, we have done a lot of sessions, individual sessions group sessions. And that is how we are spreading and making a difference to people's lives. So let's get into the topic right away. Time management, why time management?

interesting one, we have 24 hours gifted by Almighty, precisely 86,400 seconds in a day, and for me every second is an opportunity. Now how do you convert that opportunity for your own self. And that's why it's important to understand what you can do in the given time. So one of the exercises that I did early on, which is about six, seven years ago, in a session that I was, so they made us realize what all week what all is possible until then I was blaming about there is no time work is taking on family, his family commitments at my time. So then, when I did that exercise, I realized where I was spending the time which was not required, which is not important. And and after that, my time management has been more effective or efficient. So I've been more productive. And I think today's episode, we could go a little deeper into how we can look at our time and set priorities.

So I've been looking at time management. I've done a lot on my done a lot of work on myself to be a better time manager in terms of you know, increasing my productivity. Everybody has 24 hours. But some people tend to achieve more in those 24 hours given the similar circumstances. Is there a is there other some tricks that you that you have in your pocket that you can share with our listeners with regard to time management and how to set your priorities?

Okay, if if the audience have heard the prior two episodes, we spoke about purpose and we spoke about goals. Now we exactly know that there is something that we need to do to get there. Okay, so in order to get there, we need to establish habits. And in order to work on the habits, obviously, we have to allocate time. Okay, and I give an example of, Okay, if I need a slim trim healthy body, weighing 70 kgs, then I have to dedicate 30 minutes of every day, which I am doing. Similarly, for those who aspires to be extraordinary to thrive in whatever area they are in, whether it is career relationships, life money, then they have to dedicate that time, and that's why it is important to look at time management and setting priorities. So I'll give you a simple example what I did. So I looked at 24 hours as a clock, okay. And then I divided like a pie chart, where is my time going today? Okay, eight hours going to work towards driving, one hour recreation, which is getting fresh eating and everything, and then goes with watching TV or being with children, or reading something. Or talking to friends, this is so many things that were occupying My area of life, which is I call it my time management pie chart. So once I did that, I recognized that there is a lot of time which is wasted, wasted, because there was no focus on the things that I'm supposed to do. Okay, so, blessing in disguise, I got encountered with Seven Habits of Highly Effective People. That's one book that I that I recommend, or probably that's the A to Z for each individual to put a very strong personal foundation for personal development or leadership per se, in that Stephen Covey has given very interesting analogy. Examples are a tool to work on yourself regarding time management and setting priorities. So that is habit number three, which is called First things first. Now, first things first, where you divide your life rocks, okay, so it's a beautiful YouTube video also that he has wherein you, you look at the small rocks and the big rocks in our life, usually we look at all the small rocks to attend on a daily basis, and those small rocks are like those mosquitoes. Okay, and the big rocks are actually should occupy more time. Okay, we should focus on that and then attend to these small small rocks. Okay. When I looked at it, then I segregated my life. Okay, what are my big rocks? health? Is it my big rock? Yes. A lot of us. What we tend to do is we keep watching news, we keep watching what others are talking about, probably gossip. And then we go through that. And we don't realize that there is so much of time wasted. Okay, just to give an example of my own wife... since Sushant Singh Rajput cases going on on on YouTube and Republic TV, She's, she's, she's at least spending an hour every day to see the updates. Okay. And she's excited because there is something which is keeping her going in terms of understanding how things are taken a U turn, how Kangana Ranaut has come in the picture and how Sushant's girlfriend itself, as you know, it has been encountering so many cases now.
But I'm saying that these things which, which I was in discussion with her a few days back, okay. Is it important? Okay? Is it important to invest that time? Not really what you could do in that one hour that you would watch a news channel or anything else. One is when you watch it, you get disturbed, and then you tend to talk about it. Instead, what I stopped doing is I completely stopped watching news, which is a good news. I watch. I read Business News. Now why did I stop watching news is because it's for me. One, it takes time. Second, it builds negative emotions, fear uncertainity, which I would like to avoid. I would like to condition my mind to focus on things which are positive and empowering. Not that I don't want to know the news. I would just read an headline. I know that top of the mind this is happening around the world, but I would not go in detail. What happened who did what, what did the court decide. So the reason example I gave you here is one of the things which everyone should introspect and understand where they're taking the time and this was one of the big rocks for me. Okay, which was getting wasted, and then I moved to change that time into something more worth doing. Okay, then I decided to read 30 minutes, five pages, or 10 pages every day. And that was like my goal. doing exercise was my goal. Working towards my career was my goal. Okay, and then talking to some people who are really important, my mom was not on my priority list to speak to her every day. Now, I made it mandatory habit that without ticking that, I call it a success habit without taking I would not go to sleep, if, by any chance I am not able to connect to her, or sometimes her she's not reachable, because she lives in, you know, coffee estate, and sometimes there is no network available, then I send her a voice note. But at the end of the day, these are the things it has to be ticked. And that's why it's important to look at your priorities. So if I want to be a video logger, then what am I doing on a daily basis to become a pro video maker or share my wisdom and knowledge to videos. So long story to cut short, it's very important to understand your daily activities that you could do by just doing a pie chart. Okay, how much of time is going for what activity and then you will only know that okay, there's so much of time left with me, what am I doing, then proudly proudly prioritize that time into many many different dimensions depending on your short term midterm and long term goal.

Actually relate to what you what you said. Getting back to our topic of time management, see, everybody wants more time. Everybody, you know, is want of time. You know, when I speak to some of my friends, they say, 'I'm busy, I don't have time.' How can you do this later some activity? So how to get more time? Is there a...do you follow some methodologies, you know, to get more time because I've learned from some people that they delegate certain you know, activities or they eliminate certain activities? Are there some rules or tricks that you have? To get time?

Good, very interesting question. Okay. Now, there are a few things that are to be done by yourself, there are a few things that can be done by delegating to others. Now, if I have to do life and career coaching, it's my time investment which I cannot avoid, I cannot delegate, okay. But what I could do rather is there are certain things probably I can do short term course and upload and then something which is repetitive in nature. Okay, for example, how to write an effective CV, or how to prepare for interviews, which has been repetitive and it's, it's, you know, it uses a lot of my time. And now, I've understood the nature of the job nature of what I would say to each of each and every person and those things can be can be done on a module or a video or a YouTube video, or it can be video on Facebook and then people can watch that link. Now, I can turn it on I can save the time, right instead of engaging every person one or two hours every time they call, which I still tend to do because some people requires that custom customized discussion, because if I can give them a standard script on Okay, this is how we prepare but some people may be coming from different industry experience age and so many factors. So, sometimes it requires you to kind of look at person to person. But coming back to your specific question is how you can create time, how you can have more time. Now, we all are gifted with 24 us beat but what you have to look at again is what is your priority depending on your priority then you have to create time. Okay, now for example, you have to go for shopping, is it really important? Okay, you're going for a window shopping, you're not buying anything, then going driving down there and in parking and then go into the shop to the market supermarket or the shopping mall. On it might consume good to us. Okay, can you use that time for something else? So now these are the things which you have to ask the person whoever is doing or that then you can create more time. Now in my life, people ask me, I will, how do you have so much of time? Okay, you have three children, you have full time job, then you have the BI jobs and you have Toastmasters. And you do videos. And now you started podcast. I mean, man, how do you do manage all this? Right? So again, comes back to what is my priority, what I can cut on, cut down so that I can do these things, which are more important to build in my career, or be myself and help others. If making a difference is my priority, then how I can use my time to make a difference to others? Simple as that. So it's all coming from purpose, then do priorities. And when your priorities are right, then you will automatically get tuned in your mind, what to look at and what not to look at whether to say no to this or to say yes, sometimes people another example I'll give you of myself that for everything I would say yes, yes, yes. And I would take on everything on plate. Okay, I wanted to do everything. But now it's caused me a lot of burden naturally. And there was an exercise that I did this lady called TDK. From she's from Nigeria, she's a coach life coach. And she did a 21 days activation intense course, for all of us. It's a free of charge, but it's a group which don't get added to WhatsApp. And then I really got so intense within me, then I understood that a lot of my time which I'm dedicating on various things, where is it heading? Where is it leading me to and then I was able to look at an cut off okay, this is not the priority, this is not important at the moment. And then I could eliminate and restructure my time to focus on different other things which are important. So in seven habits in the third habit, like I said earlier, it's nicely put up by Stephen Covey. So, these are there are four quadrants and each quadrant would represent the time management matrix. Now, he has divided the whole four quadrants into urgent, not urgent, important and not important. Okay. Now, what is urgent, what is not important? Now, things like personal development, it may not be important. It may not be important now, but over a period of time, if you're not investing on your personal development, it might not help you in your growth in your career in your relationship. So you have to dedicate time so it is nicely put, I would encourage everyone, probably to look at that we do on YouTube, or go back to that book and read it. So whatever I'm saying it might help you in categorically then working or doing that exercise for yourself, and identifying how to how you can create more time.

So what to prioritize and what not to prioritize I have learned very hard way to say no to things. It is sometimes it sometimes spoils certain relationships in short term. But I think learning to say no is one of the good skills that anybody can learn.

And in terms of what you said about Stephen Covey, I put it you know, in other ways, there is something called four Ds of time management that I learned. One is to first least Delete means completely eliminate something that you don't like to have. Second D is to Delegate and see if you are not able to do maybe you can go to your subordinate if you are pressed for time. Third is to Defer to postpone maybe to a different time and the other, the fourth B is to Do it. So delete, delegate defer and do it's the same quadrant of no important unimportant, urgent, not urgent. It can be fit into that.

I would like to remind the listeners that in the initial episodes, we call them the foundation episodes, where we are covering topics called lead series. Fantastic. This foundation is exciting me also because it's kind of now reflecting on myself again. Now, the only message that I would like to give like yesterday when we spoke about what In the previous episode when we spoke about goal setting, and one of the questions that you asked is whether it is important to write goals. And I said, 200% Yes, it's important. Now, once again, I would like to like to reiterate here is, the best possible way to have an amazing productive day for you is when you wake up in the morning and put your task list put on everything that you would like to do on a daily basis. Okay, so I have a goal list and a task list, what is important for that day, what are the key things and then you will not forget that and you will tend to attend it and you will see getting better on a daily basis. Okay, and you will at the end of the day, you will see okay, I did this I did that and everything that happens a small thing also when you when you ticket it, it excites you. Instead of you looking at Okay, this has not happened is not up and oh my god, it's the same day again for me. But the best thing is look at what has happened and feel good about it, will happy about it, and then attend to the things which are not adapted that can be done. That's okay. But feel good, feel excited for things that happened, you know, smallest thing and making that phone call to a friend. We happy that you did it. When I call my mom, I feel super excited. Okay, so these small things when you achieve it, celebrate, they say and there are people who celebrate by gifting themselves something, but for me celebration is be happy, bring that smile, I did this the smallest task when you start enjoying, you will see bigger things happening automatically. So this is a message from from today. So have a task list. I call my task list as my magic list. I don't burden myself by saying now that task Oh my god, it's another task. Because I have one book which is on the personal front for family and career related on for office I have another book which is again, listing down all the tasks, and maintaining this task lists works wonders. So that is the tip to conclude this Thank you.

If making a difference is my priority, then how I can use my time to make a difference to others? Simple as that. So it’s all coming from purpose, then do priorities. And when your priorities are right, then you will automatically get tuned in your mind, what to look at and what not to look at whether to say no to this or to say yes, sometimes people another example I’ll give you of myself that for everything I would say yes, yes, yes. And I would take on everything on plate. Okay, I wanted to do everything. But now it’s caused me a lot of burden naturally. And there was an exercise that I did this lady called TDK. From she’s from Nigeria, she’s a coach life coach. And she did a 21 days activation intense course, for all of us. It’s a free of charge, but it’s a group which don’t get added to WhatsApp. And then I really got so intense within me, then I understood that a lot of my time which I’m dedicating on various things, where is it heading? Where is it leading me to and then I was able to look at an cut off okay, this is not the priority, this is not important at the moment. And then I could eliminate and restructure my time to focus on different other things which are important. So in seven habits in the third habit, like I said earlier, it’s nicely put up by Stephen Covey. So, these are there are four quadrants and each quadrant would represent the time management matrix. Now, he has divided the whole four quadrants into urgent, not urgent, important and not important. Okay. Now, what is urgent, what is not important? Now, things like personal development, it may not be important. It may not be important now, but over a period of time, if you’re not investing on your personal development, it might not help you in your growth in your career in your relationship. So you have to dedicate time so it is nicely put, I would encourage everyone, probably to look at that we do on YouTube, or go back to that book and read it. So whatever I’m saying it might help you in categorically then working or doing that exercise for yourself, and identifying how to how you can create more time.

Thanks, Avil, I will definitely put a link to that YouTube video in the description. Yes. I also learned like you said so many things on the plate. So what to prioritize and what not to prioritize I have learned very hard way to say no to things. It is sometimes it sometimes spoils certain relationships in short term. But I think learning to say no is one of the good skills that anybody can learn.

And in terms of what you said about Stephen Covey, I put it you know, in other ways, there is something called four Ds of time management that I learned. One is to first least Delete means completely eliminate something that you don’t like to have. Second D is to Delegate and see if you are not able to do maybe you can go to your subordinate if you are pressed for time. Third is to Defer to postpone maybe to a different time and the other, the fourth B is to Do it. So delete, delegate defer and do it’s the same quadrant of no important unimportant, urgent, not urgent. It can be fit into that.

Fantastic. This foundation is exciting me also because it’s kind of now reflecting on myself again. Now, the only message that I would like to give like yesterday when we spoke about what In the previous episode when we spoke about goal setting, and one of the questions that you asked is whether it is important to write goals. And I said, 200% Yes, it’s important. Now, once again, I would like to like to reiterate here is, the best possible way to have an amazing productive day for you is when you wake up in the morning and put your task list put on everything that you would like to do on a daily basis. Okay, so I have a goal list and a task list, what is important for that day, what are the key things and then you will not forget that and you will tend to attend it and you will see getting better on a daily basis. Okay, and you will at the end of the day, you will see okay, I did this I did that and everything that happens a small thing also when you when you ticket it, it excites you. Instead of you looking at Okay, this has not happened is not up and oh my god, it’s the same day again for me. But the best thing is look at what has happened and feel good about it, will happy about it, and then attend to the things which are not adapted that can be done. That’s okay. But feel good, feel excited for things that happened, you know, smallest thing and making that phone call to a friend. We happy that you did it. When I call my mom, I feel super excited. Okay, so these small things when you achieve it, celebrate, they say and there are people who celebrate by gifting themselves something, but for me celebration is be happy, bring that smile, I did this the smallest task when you start enjoying, you will see bigger things happening automatically. So this is a message from from today. So have a task list. I call my task list as my magic list. I don’t burden myself by saying now that task Oh my god, it’s another task. Because I have one book which is on the personal front for family and career related on for office I have another book which is again, listing down all the tasks, and maintaining this task lists works wonders. So that is the tip to conclude this Thank you.
